Business Analyst Resume Keywords: What ATS Systems Look For in 2026

Business analyst is one of the most elastic titles in any hiring system. Depending on the company, a BA might own requirements gathering for a software build, process improvement in operations, or reporting and data work that overlaps heavily with a data analyst role. Because the title covers so much ground, applicant tracking systems filter BA applications on a wide and specific vocabulary — and a resume aimed at the wrong flavour of the role gets ranked down.

The key to a BA resume is identifying which type of business analyst the description is hiring, then matching that vocabulary precisely. The categories below cover the terms that recur across BA job descriptions. Include the ones that are genuinely true for you, in the exact form the posting uses.

Requirements and Analysis Keywords

These are the core of most BA descriptions, especially the software- and systems-facing ones:

Requirements gathering and requirements elicitation — the foundational BA activity. "Elicitation" in particular signals formal BA training; include it if the JD uses it.

Business requirements document (BRD) and functional requirements — formal deliverables. Include the abbreviations, which the ATS matches directly.

Gap analysis — comparing current and desired states; near-universal in process-improvement BA roles.

Process mapping and process improvement — often alongside "as-is / to-be," "workflow," and "business process modelling (BPM)."

Use cases and user stories — for BAs working in software delivery. If the role is Agile, "user stories," "acceptance criteria," and "epics" appear.

Stakeholder management — one of the most consistently cited BA competencies. Exact-phrase match.

Methodology Keywords

Agile and Scrum — dominant in software-delivery BA roles; the BA often acts as a proxy product owner. Include if genuine.

Waterfall — still weighted in enterprise and government BA descriptions.

SDLC (Software Development Life Cycle) — expected in systems-facing roles.

UAT (User Acceptance Testing) — BAs frequently own or coordinate UAT; a strong signal for delivery roles.

Six Sigma or Lean — process-excellence certifications weighted in operations and manufacturing BA roles.

Data and Tool Keywords

Many BA roles carry a real data component, and the ATS scans for it:

SQL — increasingly expected; if you query data yourself, include it.

Excel — near-universal; add "PivotTables" or "advanced Excel" if the JD emphasises it.

Tableau or Power BI — for BA roles with a reporting focus. Match the JD.

Jira and Confluence — the standard toolset for BAs in Agile delivery.

KPIs and metrics — most BA roles define or track performance measures.

Cost-benefit analysis and ROI — for BAs justifying initiatives.

Business case — the document that funds a project; frequently scanned in strategy-facing roles.

Domain terms — the industry the role sits in ("healthcare," "financial services," "supply chain") — matter, because many BA postings want sector-specific familiarity and filter for it.

Reading the Flavour of the Role

The most common BA resume mistake is matching the wrong flavour. A systems/requirements-heavy resume submitted to a data-reporting BA role — full of BRDs and use cases, light on SQL and Tableau — reads as a mismatch, and the reverse is equally true. Decide whether the posting is requirements-focused, process-focused, or data-focused, and lead with that cluster. The BA title hides three fairly different jobs.

What to Leave Out

Don't list a certification (Six Sigma, CBAP) or a tool you don't actually hold or use — BA interviews probe methodology and deliverables in detail. And skip the generic filler: "detail-oriented," "problem-solver," "liaison between business and IT" as a standalone phrase carries little weight. Show the liaison work in a bullet instead.

The Right Way to Match

Strong BA resumes tie method to outcome: "Led requirements elicitation across 6 stakeholder groups, documented functional requirements in a BRD, and mapped the to-be process in Visio, cutting order-processing time by 30%" earns requirements elicitation, functional requirements, BRD, process mapping, and stakeholder while proving impact. That reads far stronger than a bare skills list.

The goal isn't to accumulate every BA term. It's to make the resume accurate, matched to the flavour of the specific role, and backed by results.
